Start with the work you need done.
A useful shortlist starts with the outcome, the people responsible for it, and the information you are prepared to share.
Choose the right delivery model
With software, your team runs the tool and turns its output into finished work. With a service firm, you hire a provider to deliver an agreed result. A dashboard alone does not tell you which model you are buying.
- Describe the task, expected output, volume, and deadline.
- Ask for a demonstration using a representative case, including an exception or failure.
- Establish what people review, who approves the output, and who corrects mistakes.
- Confirm integration needs, data access, retention, export, and deletion terms.
- Compare the full scope and current fees directly with the provider.
Law: tools and legal representation
A legal software product and a law firm can address similar tasks while providing different services. Establish whether you are purchasing tool access or engaging qualified counsel.
- Who is the lawyer responsible for advice, and which jurisdictions can they cover?
- Who checks citations, documents, and negotiation positions?
- How are confidentiality, conflicts, and sensitive documents handled?
- Which matters and revisions are included in the agreed scope?
Marketing: production and measurable outcomes
Separate the ability to produce content from responsibility for strategy, publishing, measurement, and ongoing improvement. Decide which parts you want your team to own.
- What company knowledge and brand guidance inform the work?
- Who verifies claims and approves content before it is published?
- What access is required to your website, analytics, and other systems?
- Which deliverables and reporting are included, and how will you assess results?
Accounting: records and professional review
Bookkeeping automation, managed books, payroll, and tax work have different scopes. Confirm exactly which records and filings the provider will prepare and which require your approval.
- Which entities, jurisdictions, and reporting requirements are supported?
- Who reconciles the records and reviews the period-end close?
- Who handles unusual transactions, corrections, and filing deadlines?
- Can you export your records and transition to another provider?
